Terms & Conditions: DJ Hire & Event Services

1. Booking & Payments

  • Booking Confirmation: A booking is only secured upon receipt of a 25% non-refundable deposit and a signed copy of these Terms.

  • Final Payment: The remaining balance must be cleared at least 3 business days prior to the event date.

  • Minimum Hire: All mobile DJ services are subject to a 3-hour minimum hire period.

2. Cancellations & Postponements

a.    Exceptional Refund Circumstances

  • Refunds are strictly limited to dire circumstances.

  • Eligible events include severe illness, death, or tragedy.

  • Official documentation may be required for processing.

b. Cancellations & Postponements

  • Client Cancellation: Cancellations within 7 business days forfeit 25% of the quote.

  • Same-Day Cancellation: Cancellations on the event day forfeit 100% of the fee.

  • Postponements: One reschedule is permitted subject to company availability.

  • Rescheduling Notice: Postponement requires a minimum of 14 days' notice.

  • Force Majeure: Out-of-control events (e.g., natural disasters) trigger credit retention.

  • Credit Allocation: Retained deposits are held as credit for a future date.

  • Credit Expiry: All force majeure credits expire 12 months from the original event date.

c. Governing Law

  • This agreement is governed by the laws of New South Wales.

  • Both parties submit to the non-exclusive jurisdiction of NSW courts.

3. Venue Requirements & Safety

  • Technical Access: The client must ensure a safe and secure power source (minimum one 10-amp circuit) within 5 metres of the setup area.

  • Space: A minimum footprint of 3m x 2m is required for standard PA and lighting setups.

  • Outdoor Events: Equipment must be under full cover. If weather conditions pose a risk to electrical safety, Total Vibe reserves the right to cease performance without refund.

4. Client Obligations & Conduct

  • Safe Environment: The client is responsible for the conduct of all guests. Total Vibe staff will not tolerate verbal or physical abuse and may terminate the set immediately if they feel unsafe.

  • Hospitality: For bookings of 3+ hours, the client must provide a main meal and soft drinks for the DJ at venues where food is served.

  • Parking: Secure, on-site parking or reimbursed parking fees must be provided for the duration of the event plus setup/pack-down time.

5. Equipment & Liability

  • Damage: The client assumes full financial liability for any damage to Total Vibe equipment caused by guests (e.g., drinks spilled on decks or equipment knocked over).

  • Public Liability: Total Vibe carries comprehensive Public Liability Insurance; however, clients should ensure the venue itself is safe for guests.

6. Creative Control & Media

  • Music Selection: While we welcome requests, the DJ retains final creative control over the music to ensure the best atmosphere for the event.

  • Promotional Content: Unless explicitly requested otherwise, you give Total Vibe permission to capture and use photos/videos of the event for promotional purposes on Instagram and our website.
